How to bind mid-term property additions without breaking your book

Mid-term additions are the moment most master-policy programs reveal whether they have a process or just a habit. The client closes on a building Friday afternoon and expects it bound by Monday morning. The carrier needs an updated schedule, a pro-rata premium calculation, and a formal endorsement. The PM needs a certificate. The lender needs evidence. The clock is running.

The four-step workflow

Step one: capture the property data at the moment of the request, not later. Address, units, year built, construction, occupancy, TIV. If any of those are missing, the rest of the process stalls. Build a single intake form and stop accepting requests in any other format.

Step two: calculate pro-rata premium against the master policy's existing rate structure. This should be deterministic — same inputs always produce the same output — and it should not require the underwriter to be in the loop unless the property is outside pre-agreed parameters.

Step three: generate the endorsement. The carrier wants a specific format. The endorsement number, the effective date, the schedule changes, and the premium adjustment all need to match. This is where spreadsheet workflows fall apart, because the format requirements vary by carrier and the AM ends up rebuilding the document by hand.

Step four: notify everyone in parallel. PM gets a confirmation and a certificate. Lender gets evidence of insurance. Carrier gets the endorsement. Client gets the invoice. None of these should require a separate email thread.
